How IntelliMinds Digital collects, uses and protects information when you interact with our website, Executive Guides, AI Readiness Assessment or Discovery Calls.

Who we are
IntelliMinds Digital is an independent UK-based AI consultancy that helps organisations design, build, deploy and operate AI systems in production. Our services include AI Readiness Assessments, AI Strategy Consulting, Custom AI Development, Prototype-to-Production engagements and Managed AI Hosting & Support.

Information we collect
We collect only the information we genuinely need to run our consultancy and improve our services. This includes:
- Contact details you provide voluntarily — name, work email, organisation, role and any message content — when you book a Discovery Call, request an AI Readiness Assessment, download an Executive Guide or contact us through the website.
- Assessment responses you submit through the AI Readiness Assessment, used to generate your personalised recommendations.
- Website usage information such as pages visited, referring source, approximate location (country/region), device type and browser. This is collected via cookies and analytics tools, subject to your consent (see below).
- Correspondence such as emails you send us and notes from calls or workshops we deliver together.
We do not sell personal information and we do not build advertising profiles of website visitors.
How we use information
We use the information we collect to:
- Respond to enquiries, arrange Discovery Calls and deliver AI Readiness Assessments.
- Send you the Executive Guides, PDFs or resources you have requested.
- Deliver, manage and support the consulting engagements we agree with you.
- Understand how visitors use the site so we can improve content, structure and the quality of our Executive Guides.
- Send occasional service or marketing communications where you have opted in, and only until you unsubscribe.
- Meet our legal, tax and professional obligations as a UK-registered business.
Our lawful bases under UK GDPR are typically: your consent (analytics, marketing emails), the performance of a contract (delivering consulting work you have engaged us for) and our legitimate interests (responding to business enquiries and improving our services in a way you would reasonably expect).
Cookies
We use a small number of cookies to run the website, understand how it is used and (in future) measure marketing performance. Strictly necessary cookies are always active. Analytics and marketing cookies only run when you have given consent through our cookie banner.

Analytics
Where you have consented to analytics cookies, we use website analytics tools to understand aggregated behaviour — which Executive Guides are most read, which service pages convert, and where visitors encounter friction. Analytics data is aggregated and used for editorial and product decisions; we do not use it to identify individual visitors.
Marketing communications
If you download an Executive Guide, request an AI Readiness Assessment or opt in to updates, we may occasionally email you with related insights, new guides or service announcements. Every message includes a one-click unsubscribe link, and we treat unsubscribes as a permanent preference.
Data security
We take proportionate technical and organisational measures to protect personal information, including access controls, encryption in transit, strong authentication for administrative access, hosting on reputable enterprise cloud platforms (Microsoft Azure and AWS) and separation of production data from working documents. Access to client information is limited to the individuals directly delivering the engagement.
International transfers
IntelliMinds Digital is based in the United Kingdom. Some of the services we rely on — for example email delivery, cloud hosting and analytics — are provided by suppliers that may process data in the United Kingdom, European Economic Area or United States. Where personal data is transferred outside the UK, we rely on recognised safeguards such as the UK International Data Transfer Agreement, EU Standard Contractual Clauses with the UK Addendum, or an adequacy decision.
Data retention
We keep personal information only as long as we need it for the purpose it was collected or to meet legal obligations. Enquiries and downloads are typically retained for up to 24 months of inactivity before deletion. Engagement records are retained for the duration of the engagement plus a reasonable period for accounting and audit purposes.
Your rights
Under UK GDPR you have the right to: access the personal information we hold about you; request correction of inaccurate information; request deletion in certain circumstances; object to or restrict processing; withdraw consent at any time; and lodge a complaint with the UK Information Commissioner's Office (ico.org.uk).

Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our services, our tooling or the law. The "Last updated" date at the top of the page will always reflect the most recent version.
